When sending a version of a file to a client (or mission to send to a client), this is how to determine the version number for it.
-
Client Revision:
- Something missed
- Error spotted by client
- Missing content
-
Studio Revision:
- Common mistakes & checks
- Copy/Speling
- Someone adding idea to final
Examples
Client Revision:
50210 - H&W - Wine Menu List - London Landmark v1.pdf HW_Join_Team_A1 v2.ai S02 - Landscape Bulgarian-v2.mp4
Studio Revision:
50210 - H&W Wine Menu List - Lead Plus Plus Town v1.2.pdf HW_Join_Team_A1 v2.4.ai S02 - Landscape Bulgarian-v2.1.mp4
Things to note
- You don’t need a version file for v1. Unless you know there will be revisions, you can avoid adding v1 to every file.
- When an idea is added to a file, and you have to re-save the file, you add a version number and increment it as vX.1, vX.2, etc. (X being the existing version number).
- Move all old versions of a file to the folder

Save your file as the latest version
When you click Save As
or Export
in most Mac software, a window appears where you can choose where to save your file and what to name it. After navigating to the desired folder, sort files by Date Modified
and click on the latest one. Its filename will automatically appear in the Save As
box. You can then easily update the version number (e.g., from v1 to v2).
Watch this video for an example:
To summarise - you navigate to the final folder, click on the latest file version, and update the version number before exporting.
