When starting a new job, copy the sample job folder below and paste it into the correct client folder

You can find the sample job folder here: GlobalNAS/_Production/_Clients/_CLIENT FOLDER TEMP/_1234 - Client Name - Job Name

Below is the folder structure of a client folder. Click on any of the names to jump to that part of the page to read more about them:

Organisation Tips:

  • Create ad-hoc subfolders within any folder to better organise files. Examples:
    • Case Study Imagery within Output
    • Translated within Final.
  • Add an _Old subfolder to archive outdated files after major project changes.
  • Helpful to know - File naming - Versioning

Audio

This is where we put any audio files that we use for videos. Things like Music, temp voiceover, sound effects.

The audio files can be further organised into:

  • Music
  • VO (VoiceOver)
  • SFX (Sound Effects)

Proofs

Files sent to the client for approval with version numbers (sample videos, PDFs, images, examples, etc.). These represent work that needs client sign-off before final deliverables are created.

Final

This folder contains the client-approved, final deliverable files (videos, PDFs, images, etc.). After client approval and creation of v1 of the final deliverable, save it here.

Move any outdated versions into the _old subfolder.

Input

This folder houses content required for the project, including stock assets, inspiration, documents, and client-provided materials. It is further organised into the following subfolders:

Docs

  • .docx .txt .srt (Transcripts, meeting notes, briefs, etc.)

Fonts

  • .otf .ttf .woff (Custom fonts for the job)

From Client

  • .pdf .pptx .png .jpg .svg (Brand guidelines, logos, must-use graphics, etc.)
  • Client Images (Team photos, client-supplied stock)

Images

  • .png .jpg (Stock images we source or capture)

Research

  • .png .pdf .jpg (Our own research, images, styles, generated visuals, etc.)

Note: If using Adobe XD, you can disregard this “Research” folder. Pinterest images for mood boards are typically saved directly within the XD project file.

Video (ad-hoc)

  • GH5 - Video filmed on our GH5 camera
  • GH3 - Video filmed on our GH3 camera

Note: This folder is not needed for every single project, so we can make it ad-hoc, dependent.

Output

This folder contains files created during the project. This includes:

  • Modified client-supplied assets (overlays, resised images, etc.)
  • Files created for use in After Effects, Premiere Pro, Illustrator, Photoshop, etc.

Note: This folder is for internal use; files here are not generally sent to the client.

Production - Workings

This folder houses all active working files for the project.

Root Folder - Allowed File Types:

  • .psd (Adobe Photoshop)
  • .ai (Adobe Illustrator)
  • .indd (Adobe InDesign)
  • .eps (Encapsulated PostScript)

Subfolders:

  • Edit - After Effects: Adobe After Effects project files 01. Setup & workflow
  • Edit - Premiere: Adobe Premiere Pro project files Edit - Premiere
  • MoGraphs: Motion Graphic Templates exported from After Effects, specifically created for this project.

Note: For job-agnostic Motion Graphic Templates, plugins, and other reusable assets, please save them to Global-NAS/_Production/MoGraph.

Render

This folder contains temporary renders generated during the editing process in After Effects or Premiere Pro. Examples include:

  • PNG sequences
  • MOVs
  • Masks and transparencies

Note: This folder can become quite large. It’s generally safe to delete its contents after project completion.
